Terms and Conditions – The Virtual Polyglot

Effective Date: July, 1st 2025

These Terms and Conditions (“Terms”) govern your use of services provided by The Virtual Polyglot (“Provider,” “we,” “us,” or “our”). By engaging with our services, you (“Client”) agree to the following terms:

1. Services
The Virtual Polyglot offers multilingual virtual assistance, including but not limited to:

  • Customer service
  • Project management
  • Translation and proofreading
  • Administrative support

Services are available in French, Dutch, and English.

2. Engagement & Communication

  • All project requests must be submitted in writing via email or agreed communication channel.
  • Work will commence upon written confirmation, a signed agreement and payment.

3. Fees & Payment

  • Administrative Services are billed based on one of three packages: Silver, Gold and Platinum.
  • Translation, proofreading and tender management services will be billed upon quote agreement.
  • For recurring contracts, a 3 months contract can be issued. Payment will be billed monthly and must be paid within 14 days.
  • Late payments may incur a 5% late fee per month.

4. Cancellations & Refunds

  • Either party may terminate services with 14 days’ written notice.
  • Prepaid packages are non-refundable unless otherwise agreed.
  • Missed appointments or deliverables due to Client delays are non-refundable.

5. Confidentiality

  • All client information, data, and materials are treated with strict confidentiality.
  • The Provider agrees not to disclose or use any confidential information for personal gain.

7. Liability

  • The Provider is not liable for indirect or consequential losses.
  • Maximum liability is limited to the amount paid for services rendered in the 30 days preceding any claim.

8. Modifications

  • We reserve the right to update these Terms at any time. Clients will be notified in writing.

9. Governing Law

  • These Terms are governed by the laws of Belgium.

By engaging with The Virtual Polyglot, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
